Scope Of Work
The Business is a carpet warehouse.
The software currently being used to run the business is running off of a Windows 98 computer.
The software (CMS) was custom designed for the warehouse many years ago. It has begun to malfunction. We need to move all of the data currently in the system to an updated system that we can use moving forward.
We need to move the data from the current system to the new system so that we maintain customer history. This is important not only for purposes such as seeing how long a client has been with us, and their purchase history so they may receive loyalty discounts. Also, we need to be able to move forward with the clients current orders i.e. work in progress/inventory currently with us.
Some clients are logged under multiple vendor accounts due to limitations of the current software. i.e. Walmart Account 1, Walmart Account 2 etc. NOTE: It is not always obvious that accounts are related as there is no standard naming convention. Your team will need to conduct interviews will need to be conducted with approximately 3 staff members to make sense of such data. After the interviews are conducted with the staff members your team will have to compare the notes it rule out duplicate accounts by comparing the finding from the three staff members. The reason is that in addition to the information kept in the database, some customer information is kept via pen and paper. This information will have to be entered into the database manually by someone at your company. Theres probably about 10,000 sheets of paper with client information on it. Some of it redundant to information currently in the electronic database.
The warehouse make money in a couple ways. They are as follows:
1. Importing carpet/various types of flooring from third party vendors aka carpet manufacturers.
2. Storing the above mentioned carpet/various types of flooring on behalf of the client. Inventory is stored by the skid, roll, shelf, rack.
3. Cutting carpet/flooring on behalf of the client and re-shelving.
4. Delivering carpet/flooring on behalf of the client and specific dates and times. i.e. some sort of calendar/scheduling system for deliveries.
5. Drop shipping of carpet/flooring from third party vendors directly to our clients.
6. Alterations of the above and as such price adjustments.
At present the prices charged for the above are decided upon by the owner of the company on a per client basis. i.e. There is no standard pricing. We need to make provisions in the software for non standard pricing and also implement a system for standard pricing for new clients moving forward. RE: We would like all clients moving forward to be on a standardized pricing system. NOTE: The custom pricing outlined above will need to be attained via an interview with the owner. There are approximately 500 clients.
In addition to the above, the software will have to be configured to meet our specific needs as all businesses have their unique funnels from acceptance of orders, processing, to delivery.
In addition to the moving of the client information into your system we need to move all of the different types of inventory. There is no limit to the types of inventory we take it as there are infinite types of carpet and flooring. We currently have about 400 different types of carpet and flooring that come in different sizes and prices. So type/cost information will need to be entered for each. Much of the current type/price information is in a second database unrelated to the database holding the customer information.
There is some redundant information across the two databases and provisions will need to be made for merging said data.
At present orders come in over the phone and email and are manually entered in the system. We would like clients to be able to have accounts where they can log in and process orders to their cart in addition to the current way we currently take orders in.
