Website/Mobile Website has been designed but I need the coding for the below to be attached to the design of the project What We Are: We are an online procurement marketplace that helps SME compare all prices in the market and negotiate for a better price. Not only looking for the best value but also vendors that are well suited to the SME. below is what we are trying to achieve, just so you can get a better idea. What Problem We are Solving: The problem we are trying to solve is a two sided problem one with the SME and one with the Vendor. SME Problem: For SME procurement is a very painful and time consuming process. To get quotes from all the players in the market is hard as most SME don’t know all the players in the market and then to provide all the relevant buying patterns to them is a time consuming task that can take hours which SME just don’t have. Submitting Quote & Comparing Quote SME are time poor, so for them to provide buying patterns to Vendors is a time consuming process. But once you have provided them buying patterns for a quote and emailed/phoned all the suppliers (another very time consuming task). The last thing a suppliers does is actually quote between suppliers wanting to send our reps which can take weeks to meet with you and with some suppliers just not quoting on the buying patterns all this can be a fruitless task. So let’s say you do have a bunch of quotes from suppliers, most the time the supplier hasn’t quoted on everything (either done deliberately or a mistake) so you then need to get the supplier to quote on these missing lines which can also take another week or so. But let’s say you have all the quotes in hand and everything you asked for has been quoted correctly you then need to sift through 3-6 quote working out who over an entire basket who would actually be cheaper which can take several hours on a excel spread sheet. Suppliers Being Competitive When suppliers first quote its usually not there best there use to a bit of back and forth to get the pricing correct. This is mainly because suppliers don’t know what you’re paying so there leaving some wiggle room for latter. So you will need to go back to the supplier to ask them to requote some products which are more then you are currently paying. This adds even more time to the quoting process. In my experience you will be lucky to even get to this stage as most of the time suppliers say they’re going to quote and don’t or quote a month after the quote close off time as they are so busy. So you end up staying with your current supplier as you are unable to compare the market. How It Works SME Side: SME will sign up and provide the last the two months of invoicing that they want to compare, this will be uploaded to the system either a photo or pdf (must be actually invoicing with prices, qty). They will also inform us if there are any products there willing to change for cheaper lines etc and which lines have to be brand specific. We (Manually to start with, inside the backend dashboard) then enter all these invoices into the platform working out average cost and spending volumes for a one month period (the platform will work this out so maybe a date range encase they only supply 6 weeks of invoicing etc, each product, price , qty will need its own spot so the system can calculate it) This will then get emailed out to all relevant Vendors with the SME identity, pricing all not shown only the volume, products & lines that can be substituted. (Before its get emailed maybe show which vendors its going to, to do this I am guessing when the SME signs up have scroll bar e.g fish and chip shop and when the vendor signs up they can tick which industry they want to target) The bidding process will be open for 7 days and when it closes the SME would get a list of vendors quoted in order of the most cost saving(showing how much they saved per month, per year etc) . All vendors are anonymous and the SME must choose which one they would like to go with. To do this they simple click a button which will then show the suppliers details but will also email the supplier the SME details for contact. As not all vendors will stock all products the system may need to be able to show multiple suppliers list but only products which are the cheapest. So maybe a list which shows all pricing/products and which suppliers can supply the items. The parameters around this will be tightened before the site gets started as I need some feedback from wholesalers. How it works Vendor Side: Vendors will get an email saying that there is quote waiting for them, it will give broad details quote $ value, what industry the customer is from etc. The vendor will need to choose if they want Quote or Pass. If Quote they will then get access to the entire quoting process, The vendor then will quote inside our platform by quoting the items selected and when possible the vendor can change to a better value product if approved by the SME as a substitute. Another option will be changing the sizing the SME is buying. So offering them a larger product so they can get the volume discounted associated with this. (The system will need to be able to show a cost per kg or work the cost back to the original products cost maybe, similar to grocery stores). Once the Vendor is finished it will then submit the quote to the system which will then give instant feedback on the quote either you are cheaper than the current supplier in which case it gets automatically sent off or it will let them know there quote is more expensive than the current quote and would they like to requote (so they quote wont get sent off). It will also show areas of the quote most needing to work on to win. Once this is done the quote will be submitted and will go to the vendor dashboard. What parameters around the instant feedback to vendors - If its cheaper, they cant go back and change the quote - The way the system will work it out if its cheaper is if the entire basket works out cheaper, so the system will look at a product and how much the customer buys on average per month and do this for all the items and overall is it cheaper or more expensive this is what we call the average basket cost - If they are more expensive the system will need to highlight to the vendor any item more then 5% more expensive then the SME currently paying and the top 5 volume lines which are more expensive then there currently paying so the vendor addresses this. (let me know if this all makes sense) - The system will only let them know twice if the basket it more expensive then there currently paying, the system will also need to take into account items that are on the list but the supplier doesn’t stock it, if this is the case the system will remove that item from its calculations when checking the basket size Vendor Quoting, things still be considered. - When the vendor quotes they will need to quote a minimal amount of the list so they will able to lodge a quote e.g they cant just quote one item out of ten. Possible for a vendor to submit a quote they need to quote a minimal % of the quote and items they can’t quote on the vendor will need to tick a box saying we don’t stock this particular item Website Set Up SME Side Issues we need to solve or incorporate - Vendors quoting on own clients how do we manage this? I need so if a SME is currently already buying off a vendor on our site this vendor doesn’t quote on this quote, otherwise there quoting against them selves - Have it so customers can put footnotes next to products so its easier for suppliers, e.g happy to use another 13mm chip product if cheaper but fry time needs to be the same as we currently use. This box can be when they upload there list next to the substitute boxes, which should go something like this tick box saying happy to switch to a cheaper product or happy to switch on some items with a box below where they can list those items. - Front Page - There is a SME Sign Up & Vendor Sign Up SME Sign Up - Business Name, Address, Owners Phone Number, Owner Name, Industry, What account terms they want, what days they want delivery or how many deliveries a week, any special instructions for suppliers - Upload section for their invoices, needs to be 8 weeks of invoices, prices and products need to be visible - Also they need to let us know which products is brand specific and which can be changed for a cheaper product SME Dashboard - Shows them the quote submitted and what lines can be substituted, it will also show the average monthly gross of this amount as the reference - It will also show when the quotes come in and will order them in the cheapest etc - When the SME picks the vendor they want they will be able to click on it and show the vendor details, this will also automatically email the vendor the customers details - As we will break down each quote, the system will need to show who is the best price for each and collate these results so there will more than likely be multiple vendors per quote. - We need to show how much they save with each quote submitted e.g SAVING $280 A MONTH WHICH IS $3,360 PER YEAR!! Vendor Dashboard - Vendor gets to see the full quote once the vendor agrees to quote on it - Vendor can add in pricing / change product but must convert price but into the cost per kg etc of the original product - Vendor then can submit the quote and before submitting it will let the vendor know if there cheaper or more expensive. If there cheaper it gets emailed straight through and they can’t change it if there more expensive it will ask if they want to change pricing and it will give an indication on what lines they should look at. This system will be based on % price difference between their current supplier and the product quoted so it won’t only let the vendor requote on high volume lines but also lines which are considerably more expensive than the current supplier. It common for suppliers to inflate prices on low volume lines to claw back margin there giving up on high volume lines. - Vendor needs to be able to give different prices for a product e.g price on the product they currently use and price of a different product that is cheaper etc. they also need to be able to work out pricing of different sized products and price it back against what the customer currently uses. E.g they currently use 2kg tub of tartare but go through 10kg a month it would be cheaper to use the 10kg tub for the volume discount you get but it will need to be worked back to how much per 2kg so the quote is structured correctly. - When vendor sign up, we need tick boxes so we know what client that want to target so we are matching the right people and maybe even new areas they want to move into as well etc - When the vendor gets an email about the quote with the info e.g fish and chip shop, monthly spend $10,000 on seafood, $2,000 on chips etc etc we need to break it down so not only is says customer spends $15,000 per month but also so they get plenty of info. - Vendors will also supply info which might be important to customers e.g what days they can deliver, account terms Platform Management Dashboard - Once a SME lodges a price enquiry we can then go in and add all the products / prices etc , this then gets emailed out to all the suppliers relevant - We will have access to all the vendors and SME info in the back end and be able to watch quotes coming through each project - See how many quotes are coming from each vendor etc, vendors response rates, look at SME info, - The backend will need to be able to average prices of products and buying patterns so its easy for the vendor to quote Other Info - There will be different product categories when the vendors quote e.g seafood, dry goods etc so I will need to be able to add categories etc when I am entering in the invoices.
