I work in a company that works on many small projects for many clients. We need to log our time (with notes) spent on each project for each client.
There is 3 in our team right now but this could be extended. We have around 30 clients, each with 1-6 projects per client. We also have stuff like holidays, sick leave, internal meetings etc to record the time for.
We have repeat tasks that apply to each client like Updates, correspondence, travel, meetings, billing etc
We need to record our own time from our PC and the data be collated centrally so we can see simple reports that can drill down to show reports such as:
i) How much time has been accumulated for each client and on which projects
ii) How much of this time has already been billed for and so reducing the carried forward time. This means we need to be able to add a special entry to reduce the time eg use a minus figure and a note to reduce the time carried forward.
iii) How much time is spent of similar type tasks. eg sick leave etc.
New reports may need to be added but would be part of enhancement to this project.
Each report needs to run periodically, eg monthly and be emailed to the admin.
We are open to suggestions that this application should run on Windows network or web based. Ideally however the application should not require SQL or mySql etc. The installation should be really simple.
Data entry should be something like:
[client v][project v][task v][hours spent][Description][Save]
[client v][project v][task v][hours spent][Description][Save]
[client v][project v][task v][hours spent][Description][Save]
[client v][project v][task v][hours spent][Description][Save]
etc.
Each day typically requires about 10 rows of time allocation. But more may need to be added.
We should be able to see the daily timesheet add up to 8 hours and easily change the value we put in [hours spent] so it is easy to juggle the number to reach 8 hours.
The client/project/task should be set by the Admin but users can add new items themselves.
